Sales Process Manager – KI Concerts: 2025-3476


The Position:

 KI Concerts is seeking a Sales Process Manager who thrives on organization, precision, and the magic of making life-changing experiences happen for our clients. In this role, you’ll support KI’s dynamic Global Sales & Senior Advisor, powering the proposal and sales process that sets our international performance tours in motion.  

 

The right candidate will be the engine behind our sales and promotion structure, ensuring that administrative processes are flawlessly executed, proposals are timely and accurate, and registrant engagement (students, families, etc.) is proactively developed alongside the Global Sales & Senior Advisor’s work with the Director of the ensemble. 

 

This position reports directly to the Director of Programs at KI Concerts and works in close collaboration with the Global Sales & Senior Advisor, providing strategic administrative and logistical support across all phases of the sales and promotional process. 

 

This role may be based in our Washington DC office or performed remotely. Candidates from all U.S. locations will be considered.

What You'll Do:

Key Responsibilities 

 

Sales & CRM Support 

  • Take notes and ensure client contact data and records in KI’s CRM (HubSpot) are detailed, accurate, and up-to-date following sales calls. 
  • Set follow-up tasks and maintain pipeline hygiene by moving deals through HubSpot stages. 
  • Generate and maintain accurate reports, contact lists, and progress-to-goal dashboards. 
  • Coordinate and schedule meetings across time zones, ensuring calendar alignment. 
  • Manage the sales pipeline to ensure ongoing client touchpoints for Global Sales & Senior Advisor.  

 

Client Proposal & Documentation Preparation 

  • Generate, edit, and proof custom tour proposals with a high attention to detail (dates, formatting, typos) using KI’s templates and brand guidelines. 
  • Help create client pitch decks and prospectuses. 
  • Track and manage administration of RFPs, ensuring timely vendors responses. 
  • Submit requests for air and land pricing (no vendor negotiation required), manage revisions, and compile simple comparison tables to compare quotes to previous tours. 
  • Maintain well-organized comparisons and pricing breakdowns for the Global Sales & Senior Advisor.  

 

Registrant Engagement Development 

  • Work with the client and Global Sales & Senior Advisor to coordinate and deliver systematized promotional processes directly targeting potential registrants using templated communications and support materials. 
  • Host informational meetings via video conference to present tours to the ensembles & drive registration. 
  • Keep communications and engagement plans aligned with the overall tour sales timeline. 

 

Sales-to-Operations Handoff 

  • Package all required internal documentation and notes for the tour operations team after the sale closes. 
  • Ensure continuity of information from sales through to execution, making sure that important client notes and details are captured and shared accurately. 

 

Information Management 

  • Organize and maintain up-to-date archives of proposals, contact records, past tour information, and resource links. 
  • Be able to quickly access and retrieve needed documentation and examples in live sales or planning environments. 


About You:

Qualifications & Requirements 

 

  • Belief in the power of travel and music to transform lives. 
  • Bachelor’s degree viewed favorably, with a concentration in music, business, management, or related field preferred. 
  • 3–5 years in sales support, sales operations, project coordination, or proposal management or in a similar role that required detail and managing multiple priorities. 
  • General knowledge and understanding of the international performance travel industry and the global destinations to which KI Concerts clients travel. 
  • Experience in travel, music education, or performance tour industries a strong plus. 
  • Familiarity with CRM platforms (HubSpot preferred), and experience managing pricing quotes or vendor communications. 
  • Strong interpersonal and written and verbal communication skills; ability to communicate clearly and effectively. 
  • Excellent attention to detail. 

 

Compensation & Benefits 

 

  • The anticipated annual salary range for this full-time, exempt position is $60,000–$65,000, depending on experience, skills, and location.  
  • Medical, dental, and vision benefits eligibility on the first of the month following start date, with a 50% Headfirst/KI contribution towards employee monthly premium. 
  • 401k eligibility after 6 months of employment, with up to 4% Headfirst/KI match.
